• The Property Supervisor is responsible for the daily operations, financial administration, vendor management, resident relations, and staff supervision of the estate. The role ensures smooth running of estate services, and effective communication between residents, apartment owners, and the management.
• Management and ensuring prompt payment to all contracted estate service providers.
• Overseeing security services.
• Managing garbage collection services.
• Coordinating fumigation and pest control.
• Ensuring fire extinguisher servicing and compliance.
• Handling estate insurance premiums (fire, public liability, WIBA, etc.).
• Processing Land Rent and Land Rates.
• Managing National Environment Management Authority (NEMA) licenses and other statutory levies.
• Maintaining borehole permits and Water Resources Authority (WRA) fees.
• Managing general administrative costs.
• Receiving, verifying, and ensuring prompt processing and payment of all estate utility bills, including water (bulk bill) and electricity for common areas and boreholes.
• Reconciling utility bills against actual consumption.
• Generating and issuing invoices to all residents for service charges as approved by the Board.
• Generating and issuing invoices to residents and individual water consumers based on meter readings.
• Following up on defaulters, issuing payment reminders, and submitting a monthly arrears report to the Chairman and Board.
• Acknowledging and receipting all payments received.
• Keeping and maintaining an updated, confidential register of all residents (tenants) in the estate, including House/Unit Number, Name, Phone Number, Email Address, and Move-in/Move-out dates.
• Keeping and maintaining a separate, updated register of all apartment owners, including Unit Number, Name, Phone Number, and Email.
• Managing the official estate management email and any other official communication channels.
• Attending to all communications from residents and apartment owners promptly within 24 hours.
• Resolving day to day complaints and, where appropriate, consulting and escalating policy or contentious matters to the Board through the Chairman.
• Circulating notices, memos, and Board decisions as directed.
• Supervising all estate staff, including caretakers, cleaners, and gardeners.
• Processing Staff HR needs as required.
• Maintaining proper, accurate and complete books of account for the estate, keeping all supporting documents, receipts, vouchers and invoices.
• Submitting a monthly financial report, Income & Expenditure statement, Bank reconciliation, Arrears report and Payment schedule
• Coordinating with the appointed auditor for quarterly audits and for preparation and filing of KRA returns.
• In liaison with the caretaker, conducting regular inspections of common areas, buildings, perimeter wall, gate, water systems, borehole and sewer system.
• Recommending necessary renovations, repairs and preventive maintenance works to the Chairman with quotations.
• Supervising approved repair and maintenance works and ensuring quality and timely completion.
• Providing a comprehensive Management Report to the Board once every 3 months (quarterly) covering financial performance, service provider performance, collection status and defaulters, staff matters, maintenance and compliance status, incidents and resident issues, recommendations.
