• In this role, you'll provide administrative support to the HR/Admin department, helping to ensure the smooth operation of HR processes and activities. You will assist with recruitment, onboarding, employee records management, various HR-related tasks and Administrative tasks. You will be maintaining an organized and efficient HR/Admin functions, contributing to a positive employee experience
• Handle a full cycle recruitment process, including attracting and retaining talent
• Carry out full onboarding process for new hires, reviewing process, preparing orientation materials, organizing for training with line managers and mentorship of new hires;
• Maintain and update employee records in HR databases and physical files, ensuring accuracy and confidentiality.
• Compensation and Benefits Management;
• management of employee benefits, including enrollment, changes, and terminations;
• review of sourced benefits scheme and align benefits to business strategy
• implementation and roll out of all schemes
• Prepare and manage HR documents such as employment contracts, offer letters, and termination paperwork. in accordance with the law and set templates
• Review existing contracts and how to improve covering company from legal exposure;
• Collaborate with line managers to draft KPA and KPIs;
• Roll out of KPA and KPIs and assist tine managers in communication and inclusion strategy
• Manage the performance calendar, reminding line managers, guiding the conduction of the review meetings
• Roll out and tracking tracking of PIPs
• Handle group off boarding of employees; clearance, termination process, final dues, exit interviews;
• Policy and HR Reports formulation and Administration
• drafting and implementation of HR policies and procedures, ensuring compliance with company policies and legal requirements.
• preparation of HR reports and presentations for management.
• Coordinate general office administration, supplies, assets, records, facilities, meetings, and office logistics.
• Help organize and coordinate people engagement activities and employee relations;
• Formulate and roll out employee engagement surveys;
• Serve as a point of contact for employee inquiries, directing them to the HR officer as needed.
• Assist in handling employee grievances and disciplinary issues in accordance with company policies.
• Leave Management on the HRMIS and constantly liaising with line managers and organisational leads on leave liability and how to minimise it while creating work-life balance for employees;
• maintaining a positive work environment and fostering good employee relations.
• Process accurately assigned companies payroll by collecting and verifying timekeeping information and ensuring timely submission to the Finance department.
• Ensure that HR practices are compliant with labor laws and regulations i.e WIBA,Licenses, ISO Compliance, HR Compliance and full adherence to the HR Manual and SOP;
• Ensure statutory compliance
• Be abreast with all new compliance requirements and adjust HR structures to align
• Serve as the first point of contact for visitors, clients, candidates, and suppliers.
• Supervise office staff
• Procurement for office purchases
• Maintaining OSHA standards in the premises
• Organizing meetings and any other admin tasks as shared.
• Manage estate correspondences.
• Organizational Skills: Ability to manage multiple tasks and prioritize workload effectively.
• Attention to detail and accuracy in handling sensitive employee data and documentation.
• Excellent verbal and written communication skills.
• Report writing skills
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with HR software and databases.
• Familiarity with HRIS and payroll systems and basic understanding of payroll processes.
• Ability to interact professionally with employees at all levels of the organization.
• Flexibility in moving across different organisational divide with ease
