The Security Administration Supervisor is responsible for the effective coordination and administration of the department’s daily security operations. • Daily Operations Planning: Coordinate and oversee daily security operational activities to ensure adequate coverage and smooth execution of departmental requirements.
• Work Scheduling and Allocation: Prepare daily, weekly, and monthly duty rosters, schedules, and work allocations, ensuring appropriate deployment of security personnel according to operational needs/departmental requirements in liaison with Security Manager.
• Leave Planning and Allocation: Assist the Security Manager in staff leave schedules, ensuring proper planning, approval coordination, and allocation of personnel to maintain adequate operational coverage at all times.
• Manpower Planning: Monitor staffing levels, attendance, absences, shift requirements, and manpower availability, identifying and addressing potential staffing gaps.
• Supervision of Operation Supervisors: Coordinate, guide, and monitor the activities of Operations Supervisors, ensuring that assigned responsibilities by the Security Manager are properly executed and departmental procedures are followed.
• Operational Coordination: Serve as an administrative link between management, Operations Supervisors, security officers, HR department and other relevant departments to ensure effective communication and coordination.
• Attendance and Duty Monitoring: Monitor daily attendance, shift changes, overtime, absenteeism, and other workforce-related matters and maintain accurate administrative records.
• Staff Deployment: Assist the Security Manager in coordinating the allocation and redeployment of security personnel based on operational priorities, manpower requirements, emergencies, and changes in business needs.
• Administrative Records: Maintain accurate records relating to duty rosters, leave, attendance, manpower deployment, incidents, staff movements, and other departmental administrative matters.
• Reporting: Prepare and submit to the Security Manager monthly operational and administrative reports, including staffing, attendance, leave, deployment, and other performance-related reports.
• Policy and Procedure Compliance: Ensure that supervisors and security personnel comply with departmental policies, procedures, instructions, and established security Standing Orders (Sos) and Standard Operational Procedures (SOPs).
• Staff Communication: Communicate operational instructions, schedule changes, departmental notices, and management directives to supervisors and relevant security personnel.
• Issue Resolution: Assist Security Manager in resolving staffing, scheduling, attendance, and other day-to-day operational or administrative issues, escalating significant matters to management when necessary.
• Performance Monitoring: Support the monitoring of supervisors’ and security personnel’s performance, discipline, attendance, and compliance with assigned duties.
• Training and Briefings: Coordinate and support staff briefings, inductions, training schedules, and communication of operational requirements.
• Incident and Emergency Support: Assist in coordinating manpower and administrative requirements during security incidents, emergencies, special events, or other unusual operational situations.
• General Departmental Administration: Handle other administrative duties, assignments, documentation, correspondence, and coordination activities that relate to the department.
• Continuous Improvement: Identify opportunities to improve scheduling, manpower utilization, administrative processes, communication, and overall operational efficiency within the security department.
