How to onboard a business
Everything you need to take a business owner from "what is NairobiCity?" to approved - and get paid for it.
How you get paid
- You earn KES 300 for each business that signs up with your code and is approved by an admin.
- The money shows as Pending as soon as the business sends its form, and moves to Available when it is approved. If the business is not approved it doesn't count.
- Once you have KES 500 available, press Request payout. We send it to your M-Pesa within 3 working days and give you the M-Pesa reference.
The five steps
-
1
Find a real business and explain it simply
Good fits: anyone selling or serving customers in or around Nairobi - shops, salons and barbers, food spots, fundis and mechanics, boutiques, landlords and agents, tutors, photographers, event people.
What to say “NairobiCity is where people in Nairobi look for shops, services, houses and deals. Listing your business is free - customers find you and WhatsApp or call you directly. I can set it up with you right now, it takes about 10 minutes.” -
2
Create their account - with your code
On the owner's phone, open your business link (it's on your dashboard) and tap Create my business account. Or open NairobiCity, tap Sign up, choose A business, and type your code under "Have a referral code?".
- They choose a username, enter their email and a password.
- A 6-digit code is emailed to them - they must be able to open that email there and then. No email? Help them create a free Gmail first.
- The account must be theirs. Never use your own email or phone for their account, and never keep their password.
-
3
Fill in the business form together
Right after signing up they land on the business form (Become a merchant). It has seven short parts:
- What they offer - tick every kind that fits, and describe it in a sentence or two.
- The business - the name customers know, and how it is set up (see the checklist below).
- Contact - phone and WhatsApp customers should use.
- Where - county, sub-county and estate; a road or landmark helps customers find them.
- How customers pay - M-Pesa number, Buy Goods till or Paybill.
- Documents - optional, but a photo of the business permit or registration certificate gets approval faster.
- Marketer code - if they signed up with your link it already shows you. If not, type your code here - this is what credits you.
-
4
Wait for review - and fix anything asked
An admin checks every business, usually within 1-2 working days. Your Businesses page shows where each one is:
Signed up account made, form not sent - go back and finish it with them In review nothing to do, wait Needs info read the admin's note, help them update the form and send it again Approvato you're paid - move to step 5 Not approved read why; if it can be fixed they can apply again -
5
Help them post their first listing
An approved business with nothing listed gets no customers. Help them add a first product, service, home or deal from their Merchant hub - clear photos in daylight, a real price, and a description that says what's included. It shows as Live on your dashboard once it is up.
Business checklist - what each kind of business needs
| How it's set up | Registration number | KRA PIN |
|---|---|---|
| Individual / freelancer (not registered) | Not needed | Optional |
| Sole proprietor (registered business name) | Richieste | Optional |
| Partnership | Richieste | Optional |
| Limited company | Richieste | Required (company PIN) |
| NGO / community group / SACCO | Richieste | Optional |
Every business also needs: a Kenyan phone number, an estate or area, an M-Pesa number / till / paybill, at least one thing they offer, and a sentence describing it.
What a business can offer
The rules
- Only real, operating businesses with an owner who agreed to join. Fake or duplicate businesses are rejected and never paid.
- Your own business doesn't count, and the code can't be used on your own account.
- One business, one marketer: the first code used is the one that counts.
- Never ask for or keep anyone's password or M-Pesa PIN, and never take money from a business to sign them up. Joining is free.
- Don't promise sales, rankings or anything NairobiCity doesn't offer. Some sections have paid listing plans or promotions - the business always sees the price before paying.
- Breaking these rules gets the marketer account suspended, and unpaid earnings from those businesses are cancelled.
Questions marketers ask
- The owner already has a NairobiCity account.
- Fine - if they haven't sent the business form yet, they type your code in part 7 of the form. If another marketer's code is already on their account, it stays with them.
- They signed up but didn't finish the form.
- They show as Signed up on your Businesses page. Go back, log in on their phone, and finish it under Merchant > Become a merchant.
- When do I get paid?
- When the admin approves the business. Not when they sign up, and not when they send the form.
- Can I onboard a family member's business?
- Yes, if it is a real business they own and run, on their own account. Not yours.
